1. Introduction
These Terms of Use (“Terms”) govern your access to and use of the HelloPhysio website at www.hellophysio.sg, our online content, our communication channels, our AI-powered WhatsApp Assistant, and any related digital services operated by or on behalf of HelloPhysio Pte. Ltd. (“HelloPhysio”, “we”, “us” or “our”).
By accessing our website, communicating with us, using our AI-powered WhatsApp Assistant, booking an appointment, or otherwise using our services, you agree to these Terms. If you do not agree to these Terms, please do not use our website or digital services.
These Terms should be read together with our Privacy Policy, which explains how we collect, use, disclose and protect personal data.
2. About HelloPhysio
HelloPhysio Pte. Ltd. operates physiotherapy clinics in Singapore. Our services include physiotherapy assessment, treatment, rehabilitation, exercise prescription, Clinical Pilates and adjunctive modalities where clinically appropriate.
Information on our website and digital channels is provided for general educational and administrative purposes. It does not replace assessment, diagnosis or treatment by a qualified healthcare professional.
3. Website information is not medical advice
The content on our website is provided for general information only.
Although we aim to provide accurate and useful health information, website content is not medical advice, diagnosis, treatment recommendation or clinical opinion. Health conditions can vary widely between individuals. You should not rely on website content as a substitute for professional medical assessment or treatment.
If you have symptoms, an injury, persistent pain or a medical concern, please consult a physiotherapist, doctor or other qualified healthcare professional.

4. AI-powered WhatsApp Assistant
HelloPhysio operates an AI-powered WhatsApp Assistant to help patients and prospective patients with appointment bookings, rescheduling, cancellations, reminders and general clinic enquiries.
When you communicate with us through WhatsApp, you may be interacting with an artificial intelligence system rather than a human staff member. A HelloPhysio staff member may take over or review the conversation where appropriate.
The AI-powered WhatsApp Assistant may assist with:
- Appointment booking
- Appointment rescheduling
- Appointment cancellation
- Appointment reminders
- General enquiries about clinic locations, fees and operating hours
- Administrative support
The AI-powered WhatsApp Assistant does not provide medical advice, diagnosis, treatment recommendations, clinical opinions, emergency advice or decisions about your condition. It may help you book an appointment with a practitioner, but it will not assess, diagnose or advise on your health concern.
Our AI-powered WhatsApp Assistant is operated with support from Vascue Limited, our technology service provider, on behalf of HelloPhysio. WhatsApp is operated by Meta. Your use of WhatsApp may also be subject to Meta’s and WhatsApp’s own terms, privacy policies and data practices.
5. Medical emergencies and urgent symptoms
Our website, WhatsApp Assistant, email, social media channels and other digital services are not emergency services.
Do not use these channels for urgent medical situations. If you have severe or worsening symptoms, chest pain, breathing difficulty, sudden weakness, loss of bladder or bowel control, numbness around the groin or saddle area, severe trauma, or any other urgent medical concern, please seek immediate medical attention or call 995 in Singapore.
Messages sent through WhatsApp, email or website forms may not be read immediately.
6. Appointments and booking confirmations
Appointments are subject to practitioner availability and clinic operating hours.
Appointments may be booked through our website, WhatsApp Assistant, staff, phone, email or other approved channels. A booking confirmation sent by HelloPhysio, including by WhatsApp, email or SMS, constitutes a confirmed appointment.
Appointment reminders may be sent as a courtesy. Failure to receive a reminder does not affect your responsibility to attend your appointment or comply with our cancellation policy.
We reserve the right to reschedule or cancel appointments where necessary, including due to practitioner illness, clinic operational requirements, technical issues, safety concerns or other reasonable circumstances. Where possible, we will contact you to arrange an alternative appointment.
7. Cancellation, late cancellation and no-show policy
HelloPhysio applies a cancellation policy to ensure appointment availability is managed fairly for all patients.
- A minimum of 12 hours’ notice is required to cancel or reschedule an appointment.
- A full session fee may be charged for missed appointments or cancellations made with less than 12 hours’ notice.
We may waive or adjust cancellation charges at our discretion in exceptional circumstances. Any waiver in one instance does not mean the policy will be waived in future.
8. Fees, pricing and payment
Session rates are inclusive of prevailing GST unless stated otherwise.
A weekend surcharge may apply to weekend appointments.
Treatment prices may include adjunctive modalities such as Shockwave Therapy, INDIBA® or EMTT where assessed by your physiotherapist as clinically appropriate. The use of any modality is based on clinical assessment and is not guaranteed in every session.
Prices are subject to change. The most current pricing will be provided upon request or, where applicable, at the time of booking.
Payment is due at the time of your appointment unless otherwise agreed. Accepted payment methods may include cash, credit card, PayNow, Apple Pay or other payment methods accepted by HelloPhysio.
We may refuse or defer further appointments where outstanding fees remain unpaid.
9. Insurance and claims
HelloPhysio does not file insurance claims on behalf of patients unless expressly agreed in writing.
Patients are responsible for making payment in full and may, where applicable, submit invoices, receipts, or supporting documents to their insurer independently.
We do not guarantee that any service, treatment, report or invoice will be reimbursed by an insurer. Insurance coverage depends on the terms of your own policy.
10. Intake forms, consent and clinical safety
You may be required to complete intake, consent, or other clinical forms before your appointment.
These forms help us understand your symptoms, medical history, medications, injuries, surgeries and relevant health information. Accurate information is important for safe and appropriate care.
If required forms are not completed before your appointment, we may be unable to proceed with assessment or treatment until the necessary information is provided.
You are responsible for telling your physiotherapist about any relevant medical condition, medication, pregnancy, surgery, imaging result, diagnosis, allergy, pain change or safety concern before or during treatment.
11. Treatment, outcomes and clinical judgment
Physiotherapy treatment is based on assessment, clinical reasoning and your individual needs.
Your physiotherapist may recommend manual therapy, exercise rehabilitation, Clinical Pilates, education, movement retraining, adjunctive modalities or referral to another healthcare professional where appropriate.
Treatment outcomes vary between individuals. We do not guarantee a particular result, recovery time, level of pain relief or return-to-sport outcome.
You should follow clinical advice carefully and inform your physiotherapist if symptoms worsen, change significantly or do not improve as expected.
12. Images, documents and files sent to us
You may send images, referral letters, reports, or other documents to HelloPhysio via WhatsApp, email, or other approved channels, where relevant to your appointment or care.
These materials may be uploaded to your patient file or to your clinic management system, where appropriate.
Please do not send highly sensitive documents, such as NRICs, passports, financial documents, or unrelated medical records, unless specifically requested by HelloPhysio staff and necessary for your care or administration.
You confirm that any document, image or information you provide is accurate to the best of your knowledge and that you have the right to share it with us.
13. Language and communication
Our AI-powered WhatsApp Assistant may support English and Chinese. It may respond in the language used by the patient or enquirer where supported.
Automated translation or AI-generated responses may not always be perfect. If any message is unclear, inaccurate or incomplete, please contact HelloPhysio staff directly.
We may contact you through WhatsApp, SMS, email, phone or other communication channels for appointment, administrative, payment, service or care-related purposes.
14. Acceptable use
You agree not to misuse our website, WhatsApp Assistant, communication channels or digital services.
You must not:
- Use our services for unlawful, fraudulent, abusive or harmful purposes
- Send false, misleading, offensive, defamatory, threatening or harassing content
- Upload viruses, malware or harmful code
- Attempt to interfere with the operation or security of our website or systems
- Attempt to gain unauthorised access to our systems, accounts, data or networks
- Impersonate another person or misrepresent your identity
- Send spam, unsolicited advertising or automated messages
- Copy, scrape, reproduce or extract website content without permission
- Use our AI-powered WhatsApp Assistant to generate medical advice, diagnosis or emergency guidance
- Submit information that infringes the rights, privacy or confidentiality of another person
We may restrict, suspend, or block access to our website, WhatsApp Assistant, or digital services if we believe these Terms have been breached, or if access may pose a risk to HelloPhysio, our staff, patients, systems, or service providers.
15. Intellectual property
All content on our website and digital channels, including text, graphics, logos, images, videos, layout, design, service names and other materials, belongs to HelloPhysio or our licensors unless otherwise stated.
You may view and download website content for personal, non-commercial use only.
You must not copy, reproduce, modify, distribute, publish, sell, license, create derivative works from or commercially exploit any HelloPhysio content without our prior written consent.
Nothing in these Terms transfers ownership of any intellectual property rights to you.
16. User content, reviews and testimonials
If you submit feedback, reviews, testimonials, comments, images or other content to us or about us, you are responsible for ensuring that your content is accurate, lawful and does not infringe any third-party rights.
Where you provide content directly to HelloPhysio for publication or marketing use, we will seek consent, where appropriate, before using it on our website, social media, marketing materials, or clinic communications.
Public reviews posted on third-party platforms are subject to those platforms’ terms and privacy policies.
You should avoid posting personal, medical, or sensitive information publicly if you do not want it visible to others.
17. Third-party links, platforms and services
Our website, messages or digital services may contain links to third-party websites, platforms or services.
These third parties may include WhatsApp, Meta, Google, payment providers, clinic management systems, booking systems, social media platforms or other external services.
We are not responsible for the content, accuracy, availability, security, terms or privacy practices of third-party websites or platforms. You should review the applicable terms and privacy policies before using third-party services.
The inclusion of a third-party link does not mean that HelloPhysio endorses or is responsible for that third party.
18. Privacy and personal data
Your use of our website, WhatsApp Assistant, clinic services and communication channels is subject to our Privacy Policy.
Our Privacy Policy explains how we collect, use, disclose, store, protect, retain and transfer personal data, including data collected through WhatsApp and our AI-powered WhatsApp Assistant.
By using our services or providing personal data to us, you acknowledge that your personal data will be handled in accordance with our Privacy Policy.
19. Availability and accuracy of digital services
We aim to keep our website, WhatsApp Assistant and digital services available and accurate, but we do not guarantee that they will always be uninterrupted, secure, error-free or available at all times.
Digital services may be affected by maintenance, technical issues, internet disruptions, third-party outages, WhatsApp or Meta service issues, clinic management system issues, cybersecurity events or circumstances beyond our control.
Information provided by the AI-powered WhatsApp Assistant relies on our clinic systems, available appointment data and knowledge base. If you notice an error or have any concern about information provided, please contact HelloPhysio staff directly.
20. Disclaimer of warranties
To the fullest extent permitted by law, our website, content, WhatsApp Assistant and digital services are provided on an “as is” and “as available” basis.
We do not warrant that our website, content, WhatsApp Assistant or digital services will be uninterrupted, error-free, secure, complete, accurate, current or suitable for your particular purpose.
Nothing in these Terms excludes or limits any rights, remedies, warranties, conditions or guarantees that cannot be excluded or limited under applicable law.
21. Limitation of liability
To the fullest extent permitted by law, HelloPhysio, our staff, officers, contractors, service providers and technology providers will not be liable for any indirect, incidental, consequential, special, exemplary or punitive loss or damage, or for loss of profits, revenue, data, goodwill or business opportunity, arising from or related to your use of our website, WhatsApp Assistant, digital services or reliance on general information provided through those channels.
To the fullest extent permitted by law, HelloPhysio and its technology providers are not liable for:
- Service interruptions or unavailability due to technical issues, maintenance or third-party platform outages
- Inaccurate, incomplete or delayed information provided by automated systems
- Missed appointments due to non-receipt of reminders or technical failures
- Decisions made by you based on general website or AI assistant information rather than professional medical advice
- Losses caused by third-party platforms, including WhatsApp, Meta, payment providers or other external services
- Unauthorised access or loss resulting from your own device, account, network or failure to protect your login or communication channels
22. Indemnity
To the fullest extent permitted by law, you agree to indemnify HelloPhysio against reasonable losses, liabilities, claims, costs and expenses arising from your misuse of our website, WhatsApp Assistant or digital services, your breach of these Terms, or your violation of any law or third-party rights.
23. Suspension or termination of access
We may suspend, restrict or terminate your access to our website, WhatsApp Assistant or digital services at any time where we reasonably believe that:
- You have breached these Terms
- Your use creates a safety, security, legal, operational or reputational risk
- You have provided false, misleading, abusive or inappropriate information
- You have misused our systems or communication channels
- We are required or permitted to do so by law
Suspension or termination of digital access does not affect any outstanding payment obligations, clinical record obligations or legal rights and responsibilities.

We may update these Terms from time to time to reflect changes in our services, technology, clinic operations, legal obligations or business practices.
The latest version will be available on our website. Where changes are material, we may take reasonable steps to notify users, such as by posting a notice on our website or contacting patients through an appropriate communication channel.
Your continued use of our website, WhatsApp Assistant, clinic services, or communication channels after the changes are published means you accept the updated Terms.
25. Governing law and dispute resolution
These Terms are governed by the laws of Singapore.
If a dispute arises in connection with these Terms, our website, WhatsApp Assistant or digital services, both parties should first try to resolve the matter in good faith by contacting each other and allowing a reasonable opportunity for response.
Subject to any applicable laws, the courts of Singapore will have jurisdiction over disputes arising from or relating to these Terms.
Nothing in this section limits any rights you may have under applicable Singapore law.
